How It Works

Create item. Invite suppliers. Compare prices. Award order.

QuickSource replaces email threads, supplier spreadsheets and phone tag with a structured reverse quote workflow you can run in under an hour for repeat business purchases.

1. Create the item

Describe what you buy — product, specification, quantity, delivery window and payment terms. Use a saved template for repeat purchases so you can launch a new quote in under a minute.

2. Invite approved suppliers

Pick from your approved supplier list, or use AI supplier discovery to add credible Australian suppliers. Send invitations by email and SMS — no logins required for suppliers to view the brief.

3. Suppliers compete on live prices

Suppliers submit and update their prices in real time. You can run a fixed-window quick quote or a live reverse auction with a soft close so the price keeps improving until time is up.

4. Compare and award

Compare offers side by side on price, delivery, payment terms, certifications and your weighted scorecard. Award the winning bid and convert it straight into a purchase order.

5. Track savings and re-run

QuickSource tracks the savings versus your incumbent price, monitors invoice prices for drift, and lets you re-run the event next quarter with one click.

When should you use a reverse auction?

Reverse auctions work best when your specification is clear, several credible Australian suppliers exist for the category, and the order is large enough or repeats often enough to be worth the suppliers' time. Typical examples include cleaning chemicals, packaging, PPE, paper goods, MRO consumables, fuel, hire equipment, food service items and uniforms.

Reverse auction vs RFQ: what is the difference?

An RFQ collects sealed prices once. A reverse auction lets suppliers see the leading bid (without identifying competitors) and update their price in real time over a short window. RFQs are quieter and slower; reverse auctions extract more competitive tension and typically deliver larger savings on commoditised items.

How do approved supplier lists work?

QuickSource lets you maintain an approved supplier list per category. Only approved suppliers can quote on your events, ensuring you only buy from businesses that have passed your compliance, financial and quality checks.

Frequently asked questions

How long does a typical reverse quote take?+
Most quick quotes run from RFQ to award in 20–60 minutes for commoditised items, or 2–5 business days for more complex categories where suppliers need time to price.
Do my suppliers need to install anything?+
No. Suppliers receive an email or SMS with a secure link, open it in their browser, and submit prices. There is nothing to install.
Can I keep my existing supplier list?+
Yes. QuickSource imports your approved supplier list and lets you invite them with one click. You can also use AI supplier discovery to add credible Australian alternatives.
Does QuickSource integrate with my accounting system?+
QuickSource exports awarded orders as POs that you can drop into Xero, MYOB or QuickBooks. Direct integrations are available on higher plans.
